Student records will be ready no sooner than fifteen (15) working days after the last school day attended by a student leaving during the school year. Students withdrawing throughout the school year should expect to wait at minimal of five (5) business days to process document requests. If necessary, teachers may be asked to complete academic documentation sooner but only after the Head of School or Principal has discussed the situation with the parents. If the student has been enrolled at least three weeks of the quarter, the grades earned up to withdrawal date should be averaged and recorded on a progress report form. If a student has been at school for less than three weeks in a quarter, the previous quarter grades will be counted as the final set of grades. When all fees have been cleared, the student will be given, from the office, an official copy of his/her report card, copies of SAT scores, copies of other test results, and a transfer letter. All transcript requests should be made via the school website.
Documents provided by BIS will be in no other language except English, the English version is always the official version. BIS will not translate documents or issue any school-related documents whatsoever to include Portuguese.
Notice of withdrawal is required in writing to BIS. Processing time for withdrawal requests is seven (7) days from receipt of written notice. Those requesting a withdrawal will follow the financial guidelines set forth in their contractual and posted policies. Families that withdraw a student(s) at any point throughout the school year (mandatory or voluntary) are subject to an early withdrawal penalty. This fee equates to one month’s tuition and is paid in full at the time of withdrawal. Any family that withdraws prior to April 10 will be subject to the early withdrawal fee. Thereafter, the months of May through July will require payment in full of all remaining tuition payments.
BIS will release transcripts or a student’s records after confirming with the business office that the student’s account is paid in full. For current students, a copy of the student's last quarter grades will also be sent. If the account is not paid in full, a meeting must be setup by the Admissions Coordinator with the Head of School and Finance Director. BIS may charge extra fees for multiple copies of report cards, diplomas, reference letters, transcripts, or other certificates. Students must pay for costs incurred in order to send transcripts or other documents by any courier other than regular mail. When the teacher receives a withdrawal notice, he/she needs to record the grades to date and ensure the student has turned in all books and materials. If books are missing, the Finance Director should be notified.
Non-returnees refer to students who are not returning nor re-enrolling after the end of the school year. To enable the Student Records Office to process the release of the student’s records, please:
1. Inform the admissions office (email@example.com) of the decision to not return at least two (2) weeks before the last day of semester in writing or by email.
2. Complete the following checklist items:
- Provide a forwarding address
- Return the following, as applicable:
- All textbooks
- Laptop Computers/Chromebooks
- All library books
- Other materials/resources as applies
- Payment of all tuition and other fees (contact business office)
- Clear out all personal items from locker
- BIS to transfer all the school records of the child/children to the next school upon an official request from the admitting school.
